What is CPVMS?

CPVMS (Counterpoint VMS) securely receives eligible payment and refund information from your property system and submits the required fiscal invoice to the configured tax authority. CPVMS does not replace the property management system. Your team continues to work in the property system as normal, and CPVMS handles the fiscal submission in the background. In short: Your property system remains the record of the booking. CPVMS is the fiscalization layer that reports eligible payments and refunds.

What information is fiscalized?

Payments are processed as Sales and refunds are processed as Refunds. A booking itself is not fiscalized merely because it was created. Only eligible payment and refund records result in a fiscal invoice.

What is a Normal invoice?

A Normal Sale is generally created when an eligible payment is dated on or after check-in and remains within the permitted post-checkout fiscalization period.

What is an Advance invoice?

An Advance Sale is generally created when an eligible payment is received before the guest's check-in date.

How are refunds classified?

A refund should use the same invoice type as its original sale. A refund against a Normal Sale becomes a Normal Refund. A refund against an Advance Sale becomes an Advance Refund. A refund must reference an eligible original fiscalized sale.

What emails does CPVMS send?

CPVMS sends the following email types: Fiscal invoice emails for successfully submitted sales and refunds. Service activation and suspension notices. Email delivery tests, used to confirm your recipients are reachable. System update notices. Scheduled maintenance notices. Daily report emails summarising the previous business day.

When is the daily report delivered?

The previous Fiji business day's report is emailed at approximately 8:00 AM Fiji time, with PDF and CSV attachments. If the report arrives, the reporting service completed successfully for that business day.

What should staff do during short maintenance?

Accepted Answer

Staff can continue recording transactions in their property system as normal. Pending records will be processed when service resumes. Do not do this: Do not enter duplicate payments or refunds during maintenance. Duplicates create additional fiscal invoices that must then be reversed. You may receive a suspension email at the start of maintenance and an activation email once normal processing resumes.

How often does HotelLink information update?

CPVMS automatically pulls HotelLink booking and payment updates approximately every 2 hours. Timing can vary slightly while a complete multi-property pull finishes.

How often does advanced reporting update?

Google Sheets and advanced reporting data synchronize approximately every 6 hours.

How should an incorrect payment be corrected?

Accepted Answer

Do not do this: Never edit, cancel, or delete the original payment line as the correction method. Add a new Refund transaction line for the amount that must be reversed. This keeps both sides of the transaction visible and allows CPVMS to submit a matching fiscal refund.

How should an incorrect refund be corrected?

Do not do this: Do not edit or delete the existing refund. Add a new Payment transaction line for the amount required to restore the correct balance.

What should happen before cancelling a booking?

First ensure all payments and refunds are correctly balanced using separate transaction lines. FRCS recognises Sales and Refunds, so the payment history must clearly represent both sides of every correction.

Will deleting an existing HotelLink payment create a fiscal refund?

Accepted Answer

No. Editing or deleting an existing payment is not a reliable way to create a fiscal refund. Do not do this: Do not attempt to reverse a fiscalized payment by deleting it. Always add a separate Refund line.

Why has a recent HotelLink update not appeared yet?

Updates are collected on a schedule rather than instantly. Please allow the next two-hour pull cycle to complete. Do not re-enter the payment unless its absence has been confirmed after the processing window. Re-entering it early creates a duplicate fiscal invoice.

How quickly does Abode send receipts?

Accepted Answer

Abode sends payment and refund receipts to CPVMS through a webhook. Normal delivery is near real time. If a request is not acknowledged, Abode may retry approximately every minute until it is accepted.

Does CPVMS fiscalize Abode bookings?

Accepted Answer

No. CPVMS processes eligible payment and refund receipts, not the booking creation itself.

What is the property fiscalization start date?

Accepted Answer

Each property can have its own fiscalization start date. Receipts dated before the start date are accepted and stored for history, but they are skipped from automatic fiscalization. Eligible receipts dated on or after the start date are processed normally.

How long after checkout can an Abode payment be fiscalized?

An eligible payment can be automatically fiscalized through the 60-day post-checkout grace period.

What happens after the 60-day grace period?

Accepted Answer

The receipt can still be accepted and stored, but it is not automatically fiscalized. It is marked for date-rule review instead. Records then remain within the configured 20-day retention and deletion countdown. Manual review required: Date-rule review is a manual step. Automatic processing has stopped for that receipt until it is reviewed.

What happens to a zero-amount receipt?

It is accepted and stored so Abode stops retrying, but no fiscal invoice is created because the amount is zero.

How should an incorrect Abode payment be corrected?

Do not do this: Do not remove or rewrite the original transaction. Enter the appropriate opposite transaction instead: create a Refund to reverse an incorrect payment, or create a Payment to correct an incorrect refund.
